Getting Started

How do I create an account?

Visit {appDomain}/register and enter just your organization name and email.You'll set your password from the invitation email, and then the organization admin can invite your team.

Do I need a credit card to start?

No! The FREE plan requires no credit card. You can use Plexo with up to 3 projects and 3 team members at no cost. Credit card is only needed when upgrading to Professional plan.

How long does it take to set up my first project?

Most users have their first project running in under 5 minutes. Creating the project takes 1 minute, and you can import tasks from Excel or add them manually.

Can I import my existing Excel WBS?

Yes! Plexo supports importing from Excel (.xlsx) and CSV files. You can map your existing columns to Plexo fields during the import process.

What's included in the FREE plan?

The FREE plan includes:

  • Up to 3 active projects
  • Up to 3 team members
  • Up to 300 tasks per project
  • All core features: WBS, Kanban, Gantt, Portfolio, Statistics, Resource Calendar
  • Real-time collaboration
  • CSV export
  • Email support

How much is the Professional plan?

Professional plan is $29/month (billed monthly) or $290/year (17% discount, equivalent to 2 months free).

This includes unlimited projects, unlimited team members, and up to 1,100 tasks per project.

Is there a free trial for Professional?

Yes! You get a 14-day free trial with full access to Professional features.No credit card required upfront.After the trial, you can choose to subscribe or continue with the FREE plan.

Can I switch plans later?

Absolutely! You can upgrade or downgrade your plan anytime from Settings > Subscription. Changes take effect immediately, and you'll only pay for what you use (prorated billing).

What happens if I downgrade from Professional to FREE?

Your data is safe! However:

  • If you have more than 3 active projects, the oldest ones will become read-only
  • If you have more than 3 team members, you won't be able to invite new ones (existing members remain)
  • Excel/PDF export will be disabled (CSV still available)

What's the Enterprise plan pricing?

Enterprise pricing is custom-quoted based on your needs.It includes advanced features like SSO, audit logs, custom integrations, dedicated support, and on-premise deployment.Contact our sales team for a quote.

What is WBS and why should I use it?

Work Breakdown Structure (WBS) is a proven project management methodology that breaks large projects into manageable tasks.It helps you:

  • Predict project completion accurately
  • Balance team workload
  • Identify bottlenecks early
  • Control costs effectively

How does real-time collaboration work?

Plexo uses YJS (Yjs) technology, the same tech powering Google Docs. When one team member makes a change, it's instantly visible to everyone else. No need to save or refresh—everything syncs automatically.

Can I use Gantt charts?

Yes! All plans include Gantt chart view. You can visualize project timelines, set task dependencies, and see the critical path. Drag tasks to adjust schedules directly in the Gantt view.

What's the task limit per project?

Task limits are for performance optimization:

  • FREE: 300 tasks per project
  • PROFESSIONAL: 1,000 tasks per project
  • ENTERPRISE: 5,000 tasks per project (or custom)

These limits ensure smooth browser performance. If you need more, consider breaking your project into sub-projects or contact us for Enterprise options.

Can I export my data?

Yes! You can export anytime:

  • FREE plan: CSV export
  • PROFESSIONAL/ENTERPRISE: Excel and PDF export (coming soon)

Your data is always yours to take with you.

Do you support multiple projects?

Yes! Use the Portfolio view to manage multiple projects simultaneously. See all projects, their progress, and team allocation in one unified dashboard.

Technical

What browsers are supported?

Plexo works on all modern browsers:

  • Chrome (recommended)
  • Firefox
  • Safari
  • Edge

We recommend keeping your browser up-to-date for the best experience.

Can I use Plexo offline?

Plexo requires an internet connection for normal operation. However, temporary network interruptions (e.g., tunnel entry, Wi-Fi reconnection) are supported - you can continue working and changes will automatically sync when the connection is restored. This works only while keeping the browser tab open. Full offline mode is being considered for future releases.

Is there a mobile app?

Currently, Plexo is a web application that works on mobile browsers. Native mobile apps (iOS and Android) are in our roadmap for future releases.

How is my data backed up?

We automatically back up all data daily to AWS cloud storage. You can also export your data manually anytime for extra peace of mind.

Is Plexo secure?

Yes! Security features include:

  • HTTPS encryption for all data in transit
  • Data encryption at rest
  • Regular security audits
  • Role-based access control
  • SOC 2 compliance (in progress)

Can I self-host Plexo (on-premise)?

Yes! On-premise deployment is available with the Enterprise plan.This gives you complete control over your data and infrastructure.Contact sales for details.

Account Management

How do I cancel my subscription?

You can cancel anytime from Settings > Subscription > Cancel Subscription. Your subscription remains active until the end of your billing period, then automatically downgrades to FREE plan.

What happens to my data if I cancel?

Nothing! Your data remains intact. You'll continue to have access with FREE plan limits (3 projects, 3 team members). You can export your data anytime before or after cancellation.

Can I get a refund?

We offer a 30-day money-back guarantee for first-time subscribers. If you're not satisfied within the first 30 days, contact support@plexo.work for a full refund.

How do I delete my account?

To permanently delete your account and all data, go to Settings > Account > Delete Account. This action is irreversible, so make sure to export your data first if needed.

Billing

What payment methods do you accept?

We accept:

  • Credit cards (Visa, Mastercard, American Express)
  • PayPal
  • Wire transfer (Enterprise only)

All payments are processed securely through LemonSqueezy.

When am I billed?

Billing occurs on your subscription start date each month (or year for annual plans). You'll receive an invoice via email after each successful payment.

Can I switch from monthly to annual billing?

Yes! You can switch anytime from your subscription settings. When switching to annual, you'll get a prorated credit for your remaining monthly period.

Do you offer discounts?

Yes! We offer:

  • 17% discount for annual billing (2 months free)
  • 50% discount for educational institutions
  • 50% discount for non-profit organizations

What currency do you charge in?

All prices are in USD. LemonSqueezy automatically converts to your local currency and handles tax/VAT based on your location.

How do I get help if I'm stuck?

What's your support response time?

Response times vary by plan:

  • FREE: Within 48 hours (business days)
  • PROFESSIONAL: Within 24 hours
  • ENTERPRISE: Within 4 hours (with SLA guarantee)

Do you offer training?

Enterprise customers receive personalized training and onboarding. For other plans, we provide comprehensive documentation and video tutorials.

Advanced Features

Can I integrate Plexo with other tools?

API integrations are coming soon. Enterprise plan will include custom integrations with tools like Jira, GitHub, Slack, and more.

Do you support SSO (Single Sign-On)?

SSO/SAML authentication is available with the Enterprise plan. Supported providers include Google Workspace, Microsoft Azure AD, Okta, and OneLogin.

Can I create custom fields?

Custom fields are planned for a future update. Currently, you can use the Description and Notes fields to store additional information.

Is there an API?

API access is planned for Professional and Enterprise plans. It will allow you to programmatically create tasks, update progress, and extract analytics.

Troubleshooting

My changes aren't saving

Check your internet connection. Plexo saves automatically when online. If you see a "Disconnected" indicator, your changes will sync once reconnected.

I can't see other team members' changes

Try refreshing your browser. If the issue persists, check if you're on the same project and both have active internet connections.

The Gantt chart isn't displaying correctly

Ensure all tasks have start and end dates. Tasks without dates won't appear in the Gantt view. Also, try clearing your browser cache.

I accidentally deleted a task, can I recover it?

Currently, deleted tasks cannot be recovered automatically. We recommend exporting your project regularly as a backup. Version history and undo functionality are coming in future updates.

Performance is slow with many tasks

For optimal performance:

  • Stay within the recommended task limits for your plan
  • Use filters to show only relevant tasks
  • Close unnecessary browser tabs
  • Try using Chrome for best performance

Data and Privacy

Where is my data stored?

Data is stored on AWS servers in the US (with backups in multiple regions). Enterprise customers can choose their preferred region for data residency.

Who can see my project data?

Only members of your organization can see your projects. Plexo staff cannot access your data unless you explicitly grant permission for support purposes.

Is my data encrypted?

Yes! All data is encrypted:

  • In transit: HTTPS/TLS encryption
  • At rest: AES-256 encryption

Are you GDPR compliant?

Yes, Plexo is GDPR compliant. You can export or delete your data anytime. We never sell your data to third parties.

What's your data retention policy?

We retain your data as long as your account is active. After account deletion, data is permanently removed within 30 days (or immediately upon request).

Comparison with Other Tools

How is Plexo different from Jira?

Plexo focuses on project timeline and resource planning, while Jira focuses on issue tracking and agile workflows.

How is Plexo different from Excel?

Plexo has the same accuracy as Excel but with major advantages:

  • Real-time collaboration (no file exchange)

Can I migrate from another tool?

Yes! You can import task lists from Excel or CSV. We're working on direct importers for popular tools like Jira, Asana, and Trello.
