Resource Calendar
Overview
The Resource Calendar helps you plan and balance team workload over time, ensuring no one is overworked or underutilized.
Understanding Capacity
Capacity shows available working hours per team member:
- Standard workday: 8 hours (configurable)
- Weekend days: Excluded by default
- Holidays: Can be configured per organization
- Part-time members: Custom hours per day
Features
Work Status Overview
Quickly review what the team focuses on today:
- Per-member summary of today’s assigned tasks
- Compare remaining, required, and tracked hours
- Surface how many more hours the team needs today
Statistics by Assignee
View each team member's workload and progress at a glance in the project statistics:
- Time metrics: Original estimate, current estimate, elapsed time, remaining time, and remaining MM
- Progress and ratio: Individual progress percentage and workload ratio relative to the project total
- Task count and summary: Number of assigned tasks per member and overall project statistics
Configuring Holidays
- Open the Calendar from the sidebar to access the organization calendar.
- Select the year and click "Register Exception Day" to add holidays or special schedules.
- Choose whether each entry covers the whole team or selected members.
- Enter single dates or ranges manually to reflect company-specific schedules.
- Use CSV "Import" and "Export" to bulk manage entries or keep backups.
- Click "Import Holidays from External Service" to pull national holidays automatically.
Holidays are automatically excluded from capacity calculations.
Balancing Workload
When you notice imbalance:
- Identify overloaded members (red indicators)
- Find members with spare capacity (green indicators)
- Reassign tasks by changing the assignee
- Watch the calendar update in real-time
Tips
- Review calendar weekly to prevent burnout
- Leave 10-20% buffer capacity for unexpected work
- Use calendar view when planning new project timelines
- Check calendar before committing to deadlines
